# ⚡ How Does Appointment Bookings Work with Shopify Flow

Want your store to react automatically whenever someone books, reschedules, or cancels an appointment? 🤖

That’s exactly what the **Hoppy Appointments \+ Shopify Flow** integration is designed for.

**Shopify Flow** is Shopify’s free automation tool. It watches for events in your store and runs the actions you choose — no coding needed.

Hoppy Appointments adds **8 booking triggers** to Flow, so you can automatically:

* 📬 Notify your team when a new booking comes in
* 🏷️ Tag customers based on their booking activity
* ⏰ Remind staff about bookings waiting for approval
* 🔁 Follow up after cancellations or completed appointments
* 🔗 Connect your bookings with other apps through Flow connectors

All of this runs in the background, 24/7 — so nothing slips through while you’re busy running your store ✨

---

# **⚠️ Before You Begin**

Before setting up booking automations, make sure:

* The **Hoppy Appointments** app is installed on your Shopify store
* You have at least one **active** service
→ New to the app? Follow “How to Setup Appointment Booking Services” first
* The **Shopify Flow** app is installed (it’s free and built by Shopify)

ℹ️ Good to know:

There’s nothing to enable inside Hoppy Appointments. As soon as the app is installed, all 8 booking triggers automatically appear inside Shopify Flow.

# **🔔 The 8 Available Booking Triggers**

Inside Shopify Flow, you’ll find the following triggers from Hoppy Appointments:

---

## **📅 Booking Created**

Fires when a new **free** booking is confirmed — whether it was booked on your storefront, in person via POS, or created manually by your team.

---

## **💳 Payment Booking Created**

Fires when a **paid** booking is confirmed — after the customer completes checkout and payment.

---

## **⏳ Booking Needs Approval**

Fires when a booking requires manual approval from your team.

---

## **🔁 Booking Rescheduled**

Fires when a booking is moved to a new date or time — includes both the previous and the new schedule.

---

## **❌ Booking Cancelled**

Fires when a booking is cancelled — by your team or by the customer.

---

## **🚫 Booking Declined**

Fires when your team declines a booking that was waiting for approval, or a waitlist request.

---

## **✅ Booking Completed**

Fires when your team marks a booking’s attendance as **Completed** on the Bookings page — perfect for after-appointment follow-ups.

---

## **📋 Waitlist Booking Created**

Fires when a customer joins the waitlist for a fully booked slot — a great signal that a time slot is in demand.

---

# **📦 What Information Comes With Each Trigger**

Every trigger carries the booking’s details, so your workflows can use them in conditions and messages:

* 📅 **Booking details** → Date & time, duration, booking type (regular, multiday, bundle, or waitlist), and whether it was created manually by staff
* 👤 **Customer details** → Name and email
* 🛍️ **Service details** → Service name and ID
* 🔗 **Linked Shopify records** → The product, customer, and (for paid bookings) the order — so you can use actions like “Add customer tags”

A few special cases:

* **Multiday bookings** → Include both start and end dates
* **Booking Rescheduled** → Includes the **previous** and the **new** date & time
* **Payment Booking Created** → Includes the linked order

---

# **⚙️ Step 1 — Install Shopify Flow**

Shopify Flow is a free app built by Shopify.

→ Open the **Shopify App Store**
→ Search for **Flow**
→ Install the app

Once installed, you’ll find it under **Apps → Flow** in your Shopify Admin.

---

# **🛠️ Step 2 — Create a Workflow**

Open the **Flow** app from your Shopify Admin.

Then:

→ Click **Create workflow**
→ Click **Select a trigger**
→ Search for “booking” or browse to the **Hoppy Appointments** triggers
→ Pick the trigger you want — for example, **Booking Created**

---

# **🎯 Step 3 — Add a Condition (Optional)**

Conditions let you control exactly when the workflow should run.

### **Example Conditions**

* **Booking Type** is `multiday` → only automate for stays & rentals
* **Manual Booking** is `false` → skip bookings created by your staff in POS or admin
* **Service Name** contains “Consultation” → only run for a specific service

💡 Without conditions, the workflow runs for every booking event of that type — which is often exactly what you want.

---

# **🚀 Step 4 — Add Actions & Turn It On**

Now choose what should happen when the trigger fires.

Popular actions include:

* 📧 **Send internal email** → Alert your team with the booking details
* 🏷️ **Add customer tags** → Mark customers for segmented marketing later
* 🔗 **Connect other apps** → Send a Slack message, create a task, and more through Flow connectors

Then:

→ Click **Turn on** to activate the workflow

Your automation is now live ⚡

---

# **💡 Example Workflows to Try**

Not sure where to start? Here are a few popular setups 👇

### **Example 1 — Team Alert for New Bookings**

* **Trigger:** Booking Created
* **Action:** Send internal email to your staff with the customer name, service, and booking date

---

### **Example 2 — Approval Reminder**

* **Trigger:** Booking Needs Approval
* **Action:** Send internal email — so requests never sit waiting

---

### **Example 3 — Tag Paying Customers**

* **Trigger:** Payment Booking Created
* **Action:** Add the customer tag `booked-paid` for future campaigns

---

### **Example 4 — After-Appointment Follow-Up**

* **Trigger:** Booking Completed
* **Action:** Tag the customer as `appointment-completed`, or notify your marketing app to request a review

---

### **Example 5 — Spot In-Demand Time Slots**

* **Trigger:** Waitlist Booking Created
* **Action:** Send internal email — a signal to open more availability for that service

---

# **🏷️ How to Tag Customers Who Book a Meeting**

Tagging customers who book appointments makes it easy to segment your audience, send targeted follow-ups, or identify loyal bookers inside Shopify.

Hoppy Appointments sends the customer's Shopify ID (`customer_id`) with every Flow trigger, so you can use Shopify Flow's built-in **Add customer tags** action.

---

## **Step 1 — Create the Workflow**

Open Shopify Flow, click **Create workflow**, and select a Hoppy Appointments trigger:

* **Booking Created** → tags every customer who completes a free booking
* **Payment Booking Created** → tags customers who paid at checkout
* **Booking Completed** → tags customers after the appointment is marked completed

---

## **Step 2 — Add a Condition (Optional)**

If you only want to tag customers for a specific service or booking type, add a condition:

* **Service Name** contains "Consultation"
* **Booking Type** is `multiday`
* **Manual Booking** is `false` — so staff-created bookings are not tagged

---

## **Step 3 — Add the Customer Tag Action**

1. Click **Add action**
2. Search for and select **Add customer tags**
3. In the **Customer** field, choose the `customer_id` variable from the trigger
4. In the **Tags** field, enter the tag you want to apply — for example, `booked-appointment`

---

## **Step 4 — Turn On the Workflow**

Click **Turn on**. From now on, every customer who matches your trigger and condition will be tagged automatically.

⚠️ **Good to know:** If a customer checks out as a guest or no Shopify customer record exists for their email, the tag action will not apply.

---

# **⚠️ Good to Know**

* **Paid bookings** fire only **after checkout is completed** — nothing triggers when a customer just picks a time slot
* **Bundle bookings** fire once per session date in the package
* Bookings created by your team (in admin or POS) include **Manual Booking \= true** — use it in conditions if you only want customer self-bookings
* If a customer checks out as a guest, the booking may not link to a Shopify customer record
* If a workflow ever fails, your bookings are **never affected** — automations run independently

---

# **🎉 Final Result**
