ποΈ How to integrate Appointment Bookings App with Google Calendar
Connecting your Google Calendar keeps your bookings in sync and helps avoid double-bookings. Once set up, every confirmed appointment is added to your Google Calendar, and existing Google Calendar events can block your available time slots automatically.
If you also use Google Meet, the same connection lets you generate Google Meet links for online appointments β¨
β οΈ Before You Begin
Before connecting Google Calendar, make sure you have:
- A Google account with calendar access
- Permission to authorize third-party apps on that account
- The Hoppy Appointments app installed on your Shopify store
π‘ The Google connection is tied to a team member, usually the store admin or the person whose calendar should receive the bookings.
π οΈ Step 1 β Connect Google Calendar to Your Team
- Open the Hoppy Appointments app
- Go to Team in the navigation
- Select the team member whose Google Calendar you want to connect
- On the General Settings tab, scroll to the Google integration card
- Click Connect Google
- Read the prompt and click Connect again
- Sign in to your Google account and approve the calendar permissions
- Once authorized, you are returned to the team member page
Youβll see a success message and a Connected badge next to Google.
π οΈ Step 2 β Configure Calendar Settings
After connecting, click Configure Google Calendars. This opens the calendar settings where you choose how Google Calendar should work with the app.
Calendar to use (Event Creation)
Choose the Google calendar where new booking events should be added. This is usually your main calendar.
Calendars to Check for Conflicts
Select one or more calendars the app should watch to prevent overlapping bookings. For example, if you have a personal calendar and a work calendar, you can check both so customers cannot book a time when you are already busy.
Enable two-way sync
Turn this on if you want existing events on your selected calendars to block available booking slots. When enabled, the app reads your Google Calendar events and removes those times from your storefront booking calendar.
When turned off, the app only writes new booking events to Google Calendar but does not check your existing events for conflicts.
Click Apply to save your calendar configuration.
π οΈ Step 3 β Use Google Meet as a Meeting Location (Optional)
Because Google Calendar and Google Meet share the same connection, you can automatically generate Google Meet links for appointments.
- Open the service you want to use with Google Meet
- In the General tab, find the Meeting location card
- Select Google Meet
- Save the service
When a customer books, a Google Meet link is created automatically and shared in their confirmation email.
π οΈ Step 4 β Save and Test
- Make sure your service is saved
- Preview the booking widget on your storefront
- Complete a test booking
- Check your Google Calendar β the booking should appear as a new event
- If you enabled two-way sync, block a time in Google Calendar and confirm it is no longer available for booking
β οΈ Important Notes
- One Google account per team member. The connection is tied to the team member, not the entire store.
- The right person needs to be connected. For services using Availability per service, connect the admin or host. For services using Availability per teammate, connect each teammate whose calendar should sync.
- Two-way sync reads your Google Calendar events. This prevents customers from booking times that are already blocked in Google Calendar.
- Booking events are written to Google Calendar. Each confirmed booking creates an event on the selected calendar with the customer and meeting details.
- Disconnect anytime. You can remove the Google connection from the team member detail page. Existing Google Calendar events stay as they are; new bookings will no longer sync.
- Google Meet requires the same Google connection. You do not need a separate integration for Google Meet links.
π Troubleshooting
Connect Google button does nothing
Make sure your browser allows pop-ups or redirects from the Shopify admin. The Google OAuth flow needs to open Googleβs authorization page.
Google shows as Not connected after authorizing
Try refreshing the team member page. If it still shows as not connected, disconnect and reconnect Google.
Bookings are not appearing in Google Calendar
Check that:
- Google is connected for the team member who is the assigned organizer
- A Calendar to use (Event Creation) is selected in the configuration
- The booking was confirmed successfully
Existing Google Calendar events are not blocking booking slots
Make sure Enable two-way sync is turned on in the Google calendar configuration, and that the calendar containing those events is selected under Calendars to Check for Conflicts.
Google Meet link is not generated
Check that:
- Google is connected for the assigned team member
- The service Meeting location is set to Google Meet
- The booking was confirmed successfully
I want to stop syncing Google Calendar for one team member
Go to the team member detail page, find the Google integration card, and click Disconnect Google. Existing synced events remain in Google Calendar; new bookings will no longer be added.
