🏢 How to Configure an Appointment Booking Service for Offline Meetings
Not every appointment happens online. If you run in-person consultations, mobile services, phone support, or any service where customers don't join a video call, you can configure the meeting location so customers know exactly where or how to attend.
Hoppy Appointments supports four offline location types:
- In person — customers come to your address
- At Location — meeting happening at a certain location
- Phone call — customers call a phone number
- Custom — it can also be mentioned as a location if none of the above fits the use case
This guide walks you through setting each one up.
⚠️ Before You Begin
Before configuring an offline meeting location, make sure you have:
- The Hoppy Appointments app installed
- A service created and connected to a Shopify product
- The address, phone number, or instructions you want to share with customers

🛠️ Step 1 — Open the Meeting Location Card
- Open the Hoppy Appointments app
- Go to Services and click the service you want to edit
- Click the General tab
- Scroll down to the Meeting location card
You'll see a dropdown labeled Meeting location. This is where you choose how customers will attend the appointment.
🛠️ Step 2 — Choose an Offline Location Type
Select the option that matches how you run appointments.
In person
Use this when customers come to your office, studio, clinic, or storefront.
Examples:
- Massage therapy at your spa
- Fitness training at your gym
- Photography session at your studio
At Location
Use this when the meeting is happening at a certain location
Examples:
- Mobile car detailing
- Home cleaning
- On-site consulting
💡 The location dropdown does not ask customers for their address automatically. If you need the customer's address, add a custom question in the Customize Questions card.
Phone call
Use this when the appointment happens over a phone call.
Examples:
- Coaching call
- Sales consultation
- Support call
Custom
Use this when you want to share free-text instructions that don't fit the other options.
Examples:
- "Room 302, Second Floor"
- "Meet at the front desk"
- "Use the side entrance and ring the bell"
🛠️ Step 3 — Enter the Address, Phone Number, or Instructions
The field that appears depends on the location type you selected.
For In person or At Location
- Start typing the address in the field
- Choose the correct address from the autocomplete suggestions
- The full address is saved automatically
Customers see this address as a clickable Google Maps link in their confirmation email and in the booking widget, so they can get directions with one tap.
For Phone call
Enter the phone number customers should call. The number appears in the booking widget and is shared in the confirmation email.
For Custom
Type the exact instructions you want customers to see. This text appears exactly as written in the booking widget and confirmation email.
🛠️ Step 4 — Add a QR Code Ticket (In Person / At Location Only)
For in-person or at-location appointments, you can include a scannable QR code ticket in the customer's confirmation email.
- Make sure In person or At Location is selected
- Check the Send Ticket QR Code option
The QR code appears in the confirmation email wherever the [Ticket QR Code] block is placed in your email template. The default email templates already include this block.
If you've customized your email templates, make sure the [Ticket QR Code] block is still there. For help, see How to Configure Email Notifications for Appointment Bookings.
🛠️ Step 5 — Save and Test
- Scroll to the top of the service editor
- Click Save
- Make sure your service status is Active
- Preview the booking widget or open the connected product page on your live store
- Complete a test booking and check the confirmation email
The offline location should appear in:
- The booking widget before the customer confirms
- The booking confirmation email
- The calendar invite attached to the email
👀 What Customers See
- In person / At Location: the address appears as a clickable Google Maps link
- Phone call: the phone number is displayed clearly
- Custom: your exact instructions appear in the widget and email
If you enabled the QR code ticket, customers also receive a scannable ticket in their confirmation email.
⚠️ Important Notes
- Meeting location is set per service. Each service can have its own location.
- Save after every change. Location updates only reach the storefront after you click Save.
- Need the customer's address for At Location? Add a custom question in the Customize Questions card. The app does not collect the customer's address automatically.
- QR code tickets require the email block. If your custom email template does not include
[Ticket QR Code], the QR code will not appear. - Use your live storefront for testing. The booking widget preview inside the app is approximate.
🐞 Troubleshooting
The address doesn't appear in the booking widget
- Make sure you selected the address from the autocomplete suggestions
- Save the service again
- Hard refresh the storefront or test in an Incognito window
The QR code is missing from the email
- Confirm Send Ticket QR Code is checked
- Check that your email template includes the [Ticket QR Code] block

I need the customer's address but don't see a field for it
Add a custom question in the Customize Questions card. Use it to ask for the address, ZIP code, or any other location detail you need.

Once configured:
✅ Your service has an offline meeting location that matches how you work
✅ Customers see the address, phone number, or instructions before they book
✅ The location is included in confirmation emails and calendar invites
✅ Addresses become clickable Google Maps links
✅ QR code tickets are included for in-person or at-location appointments (if enabled)
