đź›’ How to Use Appointment Bookings with Shopify POS
Want to book appointments for walk-in customers, phone requests, or front-desk reservations — directly from your Shopify POS? 📅
That’s exactly what the Hoppy Appointments POS extension is designed for.
Your staff can create real bookings right from the POS home screen, using the same services and availability you already set up for your online store.
It works with all service types:
- đź“… Regular bookings (single appointments)
- 🌙 Multiday bookings (stays & rentals)
- 📦 Bundle bookings (session packages)
Paid bookings are added straight to the POS cart and completed through your normal POS checkout — while free bookings are confirmed instantly ✨
This guide walks you through the complete flow, step-by-step 👇
⚠️ Before You Begin
Before booking appointments in POS, make sure:
- The Hoppy Appointments app is installed on your Shopify store
- You have at least one active service
→ New to the app? Follow “How to Setup Appointment Booking Services” first
- The Shopify POS app is installed on your device and you’re logged in
- For paid bookings → the service’s product must be available on the Point of Sale sales channel
⚠️ Important — Product Availability:
Hoppy Appointments does not publish your products to POS automatically.
To check: Shopify Admin → Products → open the product → Sales channels → make sure Point of Sale is selected.
If the product isn’t available on POS, the booking can still be created — but it can’t be added to the POS cart for payment.
✅ Step 1 — Add the “Book Appointment” Tile to Your POS
The POS extension works through a tile on your POS home screen.
On your POS device:
→ Open the Shopify POS app
→ On the home screen, tap Add tile
→ Choose App
→ Find Hoppy Appointments and add the Book Appointment tile
Once added, you’ll see a new tile on your POS home screen:
Book Appointment — Create a booking for a customer
ℹ️ Good to know:
There’s nothing to enable inside the Hoppy Appointments admin. All your active services automatically appear in POS — turn a service off or archive it, and it disappears from POS too.
🛍️ Step 2 — Select a Service
Tap the Book Appointment tile to open the booking screen.
You’ll see the Select Service list with all your active services.
Each service shows:
- 🖼️ The service image
- 🏷️ The service name
- A type badge → Regular, Multiday, or Bundle
- ⏱️ Available durations and a starting price (e.g. “30 min, 60 min · From $50”)
Looking for something specific?
→ Use the Search services... bar at the top to filter by name.
Tap a service to continue.
📅 Step 3 — Choose the Date & Time
Next, pick when the appointment should happen.
The calendar only shows dates that are actually available — based on the same availability, breaks, blocked dates, and booking rules you configured in the service. What your staff sees in POS always matches your online store.
Depending on your service setup, a few extra options may appear before the calendar 👇
⏱️ Select Duration
ℹ️ Appears only for Regular services that offer multiple durations.
Each duration shows its own price, so staff can pick exactly what the customer wants.
Example
- 30 minutes — $40
- 60 minutes — $70
🔀 Select Variant
ℹ️ Appears only when the service has one duration but multiple product variants.
Example
- Standard Room — $120
- Deluxe Room — $180
👤 Select Teammate
ℹ️ Appears only when the service uses Availability per teammate.
Choose a specific team member, or leave it on Any available teammate to see everyone’s combined availability.
🔓 Show Booked Slots as Available
Need to squeeze in a walk-in?
Enable this switch to show fully booked slots and book them anyway — handy for staff overrides when you know you can fit one more customer in 💪
🌙 Multiday — Select a Date Range
For Multiday services, tap a start date and an end date.
The calendar shows the total as days or nights based on your service settings, and respects your minimum and maximum bookable days.
📦 Bundle — Select Multiple Dates
For Bundle services, tap each date the customer wants to attend, then pick a time slot for every selected date.
The service controls how many dates can be chosen — for example, exactly 5 sessions, or anywhere between 3 and 10.
Finally, for Regular services, pick a time from the Select Time list.
ℹ️ Same-day bookings respect the service’s Minimum scheduling notice — just like online bookings. If no times appear for today, that’s usually why.
Then tap Confirm Booking to continue.
📝 Step 4 — Add Customer Details & Answer Questions
Now enter the customer’s details.
The contact fields here (First Name, Last Name, Email, Phone) match the booking form you configured in the service.
💡 Already attached a customer to the POS cart? Their details are pre-filled automatically — no re-typing needed.
If your service has custom questions, they appear here too — for example “Any special requests?” or “How did you hear about us?”
Required fields are validated before continuing, so your staff can’t accidentally skip important details.
ℹ️ Notes:
- File upload questions are not shown in POS — collect those online if needed
- When an email address is entered, a Shopify customer is created (or updated) automatically, so the booking is always attached to a customer record
Tap Confirm Booking to review everything.
🧾 Step 5 — Review & Confirm
The Review Booking screen shows a full summary before anything is finalized:
- Service → Name, duration, and price
- Date → The selected date and time (or all bundle dates)
- Teammate → If one was selected
- Additional Questions → The customer’s answers
- Customer Information → Their contact details
If a customer is attached to the POS cart, a “Using POS customer” note confirms it here.
Then:
- Paid services → Tap Confirm & Add to Cart
- Free services → Tap Confirm Booking — and you’re done 🎉
💳 Step 6 — Complete Payment in POS (Paid Services Only)
For paid services, tapping Confirm & Add to Cart adds the booking to the POS cart — just like ringing up a product.
The cart item includes all booking details (date, time, duration, and answers), so everything stays attached to the order.
A few things worth knowing:
- Multiday bookings → The quantity matches the number of days or nights booked
- Bundle bookings → The quantity matches the number of selected sessions
- Services with Fixed quantity enabled are always charged as a single item, no matter how many days or sessions are selected
Then check out the customer using your normal POS payment flow đź’ł
After the payment is completed:
- The booking is confirmed automatically âś…
- If your service uses manual confirmation (Do not automatically accept bookings), the booking is marked as needs approval instead — review it from the Bookings page
- Confirmation emails are sent to the customer (and your team) after payment
ℹ️ Free bookings skip the cart completely — they’re confirmed instantly, and confirmation emails go out right away.
The success screen also shows the Booking ID, and Create Another lets your staff book the next customer immediately.
📋 Step 7 — View the Booking in Your Admin
Every POS booking appears on the Bookings page in the Hoppy Appointments admin — right alongside your online bookings.
From there you can:
- View all booking details and customer answers
- Reschedule or cancel if plans change
- Approve bookings that are waiting for confirmation
One place for every appointment — whether it was booked online, by phone, or in person 🙌
⚠️ Common Issues
🧩 The Tile Doesn’t Appear in POS
→ Make sure the app is installed on the same store your POS is connected to
→ Add the tile from the App section when adding a tile
→ Confirm you have at least one active service in the app
🛒 “Confirm & Add to Cart” Doesn’t Add the Product
The service’s product is probably not available on the POS sales channel.
→ Shopify Admin → Products → open the product → Sales channels → enable Point of Sale
đź•’ No Times Available for a Date
POS follows the same availability rules as your online store:
→ Check the service’s Minimum scheduling notice and Look ahead settings
→ Check for Break times or Blocked dates on that day
→ The slot may simply be fully booked — enable Show booked slots as available to override it for walk-ins
🎉 Final Result
Once set up:
âś… Staff can book appointments in person in under a minute
âś… POS and online store always share the same live availability
âś… Paid bookings go through your normal POS checkout
âś… Free bookings are confirmed instantly
âś… Customers receive automatic confirmation emails
✅ Every booking — online or in person — lives in one place ✨
With POS booking enabled, your team can fill the calendar from anywhere — no phone tag, no double bookings 🚀
