Before setting up booking automations, make sure:
- The Hoppy Appointments app is installed on your Shopify store
- You have at least one active service

Thereβs nothing to enable inside Hoppy Appointments. As soon as the app is installed, all 8 booking triggers automatically appear inside Shopify Flow.

Inside Shopify Flow, youβll find the following triggers from Hoppy Appointments:

Fires when a new free booking is confirmed β whether it was booked on your storefront, in person via POS, or created manually by your team.

Fires when a paid booking is confirmed β after the customer completes checkout and payment.

Fires when a booking requires manual approval from your team.
π Booking Rescheduled
Fires when a booking is moved to a new date or time β includes both the previous and the new schedule.

Fires when a booking is cancelled β by your team or by the customer.

π¦ What Information Comes With Each Trigger
Every trigger carries the bookingβs details, so your workflows can use them in conditions and messages:
- π Booking details β Date & time, duration, booking type (regular, multiday, bundle, or waitlist), and whether it was created manually by staff
- π€ Customer details β Name and email
- ποΈ Service details β Service name and ID
- π Linked Shopify records β The product, customer, and (for paid bookings) the order β so you can use actions like βAdd customer tagsβ
A few special cases:
- Multiday bookings β Include both start and end dates

Shopify Flow is a free app built by Shopify.
β Open the Shopify App Store
β Search for Flow
β Install the app
Once installed, youβll find it under Apps β Flow in your Shopify Admin.
π οΈ Step 2 β Create a Workflow
Open the Flow app from your Shopify Admin.
Then:
β Click Create workflow
β Click Select a trigger

β Pick the trigger you want β for example, Booking Created

Conditions let you control exactly when the workflow should run.
Example Conditions

π·οΈ How to Tag Customers Who Book a Meeting
Tagging customers who book appointments makes it easy to segment your audience, send targeted follow-ups, or identify loyal bookers inside Shopify.
Hoppy Appointments sends the customer's Shopify ID (customer_id) with every Flow trigger, so you can use Shopify Flow's built-in Add customer tags action.
Step 1 β Create the Workflow
Open Shopify Flow, click Create workflow, and select a Hoppy Appointments trigger:
- Booking Created β tags every customer who completes a free booking
- Payment Booking Created β tags customers who paid at checkout
- Booking Completed β tags customers after the appointment is marked completed
Step 2 β Add a Condition (Optional)
If you only want to tag customers for a specific service or booking type, add a condition:
- Service Name contains "Consultation"
- Booking Type is
multiday - Manual Booking is
falseβ so staff-created bookings are not tagged
Step 3 β Add the Customer Tag Action
- Click Add action
- Search for and select Add customer tags
- In the Customer field, choose the
customer_idvariable from the trigger - In the Tags field, enter the tag you want to apply β for example,
booked-appointment
Step 4 β Turn On the Workflow
Click Turn on. From now on, every customer who matches your trigger and condition will be tagged automatically.
β οΈ Good to know: If a customer checks out as a guest or no Shopify customer record exists for their email, the tag action will not apply.
β οΈ Good to Know
- Paid bookings fire only after checkout is completed β nothing triggers when a customer just picks a time slot
- Bundle bookings fire once per session date in the package
- Bookings created by your team (in admin or POS) include Manual Booking = true β use it in conditions if you only want customer self-bookings
- If a customer checks out as a guest, the booking may not link to a Shopify customer record
- If a workflow ever fails, your bookings are never affected β automations run independently
