πŸ’³ How does Payments work with Appointment Bookings

Hoppy Appointments uses your regular Shopify checkout to collect payments. That means customers pay the same way they pay for any other product in your store β€” with the payment methods, taxes, and shipping rules you already have set up.


This guide explains how payments work and how to choose the right setup for your services.



⚠️ Before You Begin


Before configuring payments, make sure:


  • Your Shopify store has a payment provider set up
  • Your bookable service is connected to a product with a price
  • You know whether you want customers to pay upfront, pay a deposit, or book for free



πŸ›’ How Payments Work


When a customer books a paid service:


  1. They pick a date, time, and any options like duration
  2. They fill out the booking form
  3. They are sent to Shopify checkout to complete payment
  4. Once payment is confirmed, the booking is created
  5. You and the customer receive confirmation emails


The booking price comes from the connected Shopify product or variant. If your service has multiple durations mapped to different variants, the price updates automatically based on what the customer selects.



πŸ’° Payment Types


In the Payment tab of each service, choose how customers pay:


Pay to Book


The customer must complete payment before the booking is confirmed. This is the default and works best for paid appointments, classes, rentals, and consultations.


Book without pay


The booking is confirmed instantly without collecting payment. Use this for free services, discovery calls, or when you prefer to handle payment separately β€” like collecting cash or invoicing later.


You can switch between these two options anytime. Nothing else about your service changes.



βœ… Booking Confirmation


Below the payment type, choose how bookings are confirmed:


Automatically accept bookings


Bookings are confirmed instantly after the customer completes the required step. For paid services, that means after payment. For free services, that means after submitting the form.


Do not automatically accept new bookings


Each booking sits in a pending state until you manually review and accept it. This is useful if you need to approve customers before confirming.


⚠️ Important:


Pending bookings must be accepted within 24 hours, or they are automatically declined. Also, when manual approval is enabled, the maximum bookings per time slot setting is not enforced β€” you decide which bookings to accept.



πŸ’Έ Partial Payments / Deposits


Deposits let customers secure their spot by paying part of the total now and the rest later. This is great for high-value services, events, rentals, or reducing no-shows.


Partial payments are only available when Pay to Book is selected.



Deposit Amount


Choose how the deposit is calculated:


  • Percentage β€” e.g. 30% of the total price
  • Fixed amount β€” e.g. $50 flat, no matter the total



Partial Payment Method


Choose how the remaining balance is collected:



The customer’s payment method is saved at checkout. You can then charge the remaining balance manually from the booking details, or schedule it to be charged automatically a set number of days after checkout.


Draft Order


A Shopify draft order is created for the deposit amount. The customer pays the deposit through the draft order invoice. To collect the remaining balance later, you manually send another invoice from the booking details.



Optional Deposit Settings


  • Give the option to pay fully or just the deposit β€” lets customers choose whether to pay the full amount or only the deposit
  • Multiply by selected quantity β€” for Draft Order fixed deposits, multiplies the deposit by the number of days or units booked



⏳ Waitlist Payments


Waitlist requests are not charged when the customer submits them. They only go through checkout after you review and approve the request. This applies to both paid services and deposit services.


Waitlist is not available for Bundle services.



πŸ› οΈ Configure Payments on a Service


  1. Open the Hoppy Appointments app
  2. Go to Services and select the service you want to configure
  3. Click the Payment tab
  4. Choose Pay to Book or Book without pay
  5. Choose Automatically accept bookings or Do not automatically accept new bookings
  6. If you want deposits, enable Partial Payments and configure the amount and method
  7. Click Save



⚠️ Important Notes


  • Refunds are handled in Shopify. Because payments go through your regular Shopify checkout, you manage refunds, payouts, and disputes from your Shopify admin just like any other order.
  • Payment type can be changed anytime. You can switch between Pay to Book and Book without pay without affecting your availability or booking form.
  • Deposits require Pay to Book. The partial payment options only appear when Pay to Book is selected.
  • Selling Plans save the payment method. This makes it easier to collect the remaining balance later without asking the customer to pay again.
  • Draft Orders create invoices. Make sure your store email settings are configured so customers receive the deposit invoice.
  • Bookings without pay skip checkout. Customers confirm instantly, and no Shopify order is created.



🐞 Troubleshooting


Customers cannot complete payment


Make sure your Shopify store has an active payment provider and the connected product is available for purchase.


Deposit option is not showing


Deposits only appear when Pay to Book is selected. Switch the payment type if needed.


Remaining balance cannot be charged


If you are using Selling Plans, the customer’s payment method is saved at checkout. You can charge the balance from the booking details. If the charge fails, the customer may need to update their payment method.


If you are using Draft Order, make sure you sent the remaining balance invoice and the customer paid it.


Manual bookings are not being charged


Bookings created manually from the admin do not go through checkout. If you need to charge for a manual booking, create a separate Shopify order or invoice.


Waitlist customer was charged before I approved


Waitlist requests should only charge after approval. If a customer was charged early, check whether the booking was converted from waitlist to confirmed correctly.
