π How to integrate Appointment Bookings App with Outlook Calendar
Connecting your Outlook Calendar keeps your bookings organized and prevents double-bookings. Once set up, every confirmed appointment is added to your Outlook Calendar, and existing Outlook events can block your available time slots automatically.
If you also use Microsoft Teams, the same connection lets you generate Teams meeting links for online appointments β¨
β οΈ Before You Begin
Before connecting Outlook Calendar, make sure you have:
- A Microsoft or Outlook account with calendar access
- Permission to authorize third-party apps on that account
- The Hoppy Appointments app installed on your Shopify store
π‘ The Outlook connection is tied to a team member, usually the store admin or the person whose calendar should receive the bookings.
π οΈ Step 1 β Connect Outlook Calendar to Your Team
- Open the Hoppy Appointments app
- Go to Team in the navigation
- Select the team member whose Outlook Calendar you want to connect
- On the General Settings tab, scroll to the Outlook integration card
- Click Connect Outlook
- Read the prompt and click Connect again
- Sign in to your Microsoft account and approve the calendar permissions
- Once authorized, you are returned to the team member page
Youβll see a success message and a Connected badge next to Outlook.
π οΈ Step 2 β Configure Calendar Settings
After connecting, click Configure Outlook Calendars. This opens the calendar settings where you choose how Outlook should work with the app.
Calendar to use (Event Creation)
Choose the Outlook calendar where new booking events should be added. This is usually your main calendar.
Calendars to Check for Conflicts
Select one or more calendars the app should watch to prevent overlapping bookings. For example, if you have a personal calendar and a work calendar, you can check both so customers cannot book a time when you are already busy.
Enable two-way sync
Turn this on if you want existing events on your primary calendar to block available booking slots. When enabled, the app reads your Outlook events and removes those times from your storefront booking calendar.
When turned off, the app only writes new booking events to Outlook but does not check your existing Outlook events for conflicts.
Click Apply to save your calendar configuration.
π οΈ Step 3 β Use MS Teams as a Meeting Location (Optional)
Because Outlook and Microsoft Teams share the same connection, you can automatically generate Teams meeting links for appointments.
- Open the service you want to use with Teams
- In the General tab, find the Meeting location card
- Select MS Teams
- Save the service
When a customer books, a Teams meeting is created automatically and the join link is shared in their confirmation email.
π οΈ Step 4 β Save and Test
- Make sure your service is saved
- Preview the booking widget on your storefront
- Complete a test booking
- Check your Outlook Calendar β the booking should appear as a new event
- If you enabled two-way sync, block a time in Outlook and confirm it is no longer available for booking
β οΈ Important Notes
- One Outlook account per team member. The connection is tied to the team member, not the entire store.
- The right person needs to be connected. For services using Availability per service, connect the admin or host. For services using Availability per teammate, connect each teammate whose calendar should sync.
- Two-way sync reads your Outlook events. This prevents customers from booking times that are already blocked in Outlook.
- Booking events are written to Outlook. Each confirmed booking creates an event on the selected calendar with the customer and meeting details.
- Disconnect anytime. You can remove the Outlook connection from the team member detail page. Existing Outlook events stay as they are; new bookings will no longer sync.
- MS Teams requires the same Outlook connection. You do not need a separate integration for Teams meetings.
π Troubleshooting
Connect Outlook button does nothing
Make sure your browser allows pop-ups or redirects from the Shopify admin. The Microsoft OAuth flow needs to open Microsoftβs authorization page.
Outlook shows as Not connected after authorizing
Try refreshing the team member page. If it still shows as not connected, disconnect and reconnect Outlook.
Bookings are not appearing in Outlook
Check that:
- Outlook is connected for the team member who is the assigned organizer
- A Calendar to use (Event Creation) is selected in the configuration
- The booking was confirmed successfully
Existing Outlook events are not blocking booking slots
Make sure Enable two-way sync is turned on in the Outlook calendar configuration, and that the calendar containing those events is selected under Calendars to Check for Conflicts.
MS Teams link is not generated
Check that:
- Outlook is connected for the assigned team member
- The service Meeting location is set to MS Teams
- The booking was confirmed successfully
I want to stop syncing Outlook for one team member
Go to the team member detail page, find the Outlook integration card, and click Disconnect Outlook. Existing synced events remain in Outlook; new bookings will no longer be added.
π Final Result
Once configured:
β Outlook Calendar is connected to the right team member β Confirmed bookings appear automatically in Outlook β Existing Outlook events can block available time slots β MS Teams meeting links can be generated automatically β Customers cannot book times when you are already busy
