👥 How to set Cross-Service Availability with Teams in Appointment Bookings

When you have multiple staff members offering the same — or different — services, you often want one teammate’s schedule to apply to more than one service. Cross-service availability lets you do exactly that.


Instead of configuring availability separately inside every service, you can build a teammate’s schedule once and reuse it across all the services they offer. You can also scope a schedule to only specific services when needed.


This guide walks you through the setup.



⚠️ Before You Begin


Before setting up cross-service availability, make sure:


  • The Hoppy Appointments app is installed on your Shopify store
  • You have already added your teammates → New to team setup? See Working with Team in Appointment Bookings
  • You have created the services your teammates will offer
  • The services are set to use Availability per teammate
  • The app embed is enabled so the booking calendar appears on your storefront


đź’ˇ Cross-service availability only works when services use teammate mode. Services using Availability per service do not use teammate schedules.



🛠️ Step 1 — Open a Teammate’s Availabilities Tab


  1. Open the Hoppy Appointments app
  2. Go to Team
  3. Click the teammate you want to configure
  4. Open the Availabilities tab


This is where you build the teammate’s working hours, breaks, blocked dates, and service scope.



🛠️ Step 2 — Add an Availability Group


Each teammate can have multiple availability groups. A group is one schedule block — for example, weekday mornings or a seasonal date range.


  1. Click Add option
  2. The new group appears as Availability 1 (Weekdays)
  3. Click Switch to date range if you want specific dates instead of a weekly schedule


You can add as many groups as you need. For example:


  • A weekday group for regular services
  • A weekend group for workshops
  • A date-range group for holiday hours



🛠️ Step 3 — Scope the Group to Services


Inside each group, find the section Apply to specific services (leave empty for all).


  • Leave it empty if this schedule should apply to every service this teammate offers
  • Select specific services if this schedule should only apply to some services


Example


A massage therapist offers both Swedish Massage and Deep Tissue Massage. Their weekday availability is the same for both, so they leave the services list empty.


But they only offer Couples Massage on Saturdays. They create a second group scoped only to that service.



🛠️ Step 4 — Set Hours, Breaks, Blocked Dates, and Limits


For each group, configure the schedule:


  • Weekly hours — toggle days on/off and set start/end times
  • Date range hours — pick specific dates and add time intervals
  • Timezone — set the teammate’s timezone
  • Break times — recurring breaks such as lunch
  • Blocked dates — days off, holidays, or vacations
  • How many people maximum can book the same timeslot with you? — the per-slot capacity for this teammate


ℹ️ Break times and blocked dates apply across all services for this teammate, no matter which services are selected in the group.



🛠️ Step 5 — Save the Teammate


When you’re finished, click Save at the top of the page.


The teammate’s availability is now stored and can be used by any service that assigns this teammate.



🛠️ Step 6 — Assign Teammates to Services


For each service that should use this teammate:


  1. Go to Services and open the service
  2. Open the Availability tab
  3. Select Availability per teammate
  4. Check the teammates who offer this service
  5. Save the service


Only assigned teammates will appear on the storefront for that service.



🛠️ Step 7 — Choose How Customers Pick a Teammate


By default, the app assigns bookings to teammates automatically using round-robin. If you want customers to choose, enable the selector.


  1. Go to Settings → General
  2. Find General Preferences
  3. Enable Let customers choose a team member


When enabled, customers see a dropdown on the booking widget. They can pick No preference for round-robin or choose a specific teammate.



🛠️ Step 8 — Save and Test on Your Storefront


  1. Save all services and settings
  2. Visit a product page that uses teammate availability
  3. Click the Book Now button
  4. Select a date and check that time slots appear
  5. If customer teammate selection is enabled, try switching teammates


Book a test slot, then check that the same slot becomes unavailable or shows reduced capacity for other services that share the teammate’s schedule.



⚠️ Important Notes & Gotchas


  • Regular and Bundle services can share an availability group. Multiday services must have their own separate group. If you mix them, you’ll see the error: “Regular and Bundle services can share availability. Please create a separate config for Multiday services.”
  • Empty service scope means all services. If you do not select any services in a group, that schedule applies to every service the teammate is assigned to.
  • The teammate must be assigned to the service. A service set to Availability per teammate with no assigned teammates will show no time slots.
  • Per-slot limit counts across services. The “How many people maximum can book the same timeslot with you?” setting limits total bookings for that teammate, not per service.
  • External calendar conflicts require two-way sync. If a teammate connects Google or Outlook Calendar, blocked times only affect availability when two-way sync is enabled.
  • Existing bookings reduce availability everywhere. A booking made through any service that uses this teammate will block the same slot for all other services they offer.



🛠️ Troubleshooting

After completing these steps:


  • Each teammate has one or more reusable availability groups
  • Groups can apply to all services or only selected services
  • Services in teammate mode pull availability from assigned teammates
  • Customers can either pick a teammate or be assigned automatically
  • Bookings across services correctly reduce shared teammate availability
