π How to Configure Meeting Locations for Appointment Bookings
Meeting location tells your customers where or how to show up for their appointment. The good news? For most location types, you can set it once per service and the app handles the rest.
Hoppy Appointments supports:
- π₯ Automatic video calls β Google Meet, Zoom, and Microsoft Teams links generated uniquely for each booking
- βοΈ Phone call β share the number your customer should call
- π In person β your address shown as a clickable Google Maps link
- π At Location β your address shown when you travel to the customer
- π Custom β any instructions you want: a building name, room number, special directions, or a third-party link
- π« None β no location shown (best for services where location doesn't matter)
This guide walks you through picking the right location type and connecting the accounts that make automatic video links work.
β οΈ Before You Begin
Make sure you have:
- β The Hoppy Appointments app installed
- β A service created in the app (meeting location is set per service)
- β A Google, Microsoft/Outlook, or Zoom account ready β only if you want automatic video meeting links
π οΈ Step 1 β Open the Meeting Location Card
- In your Shopify admin, open the Hoppy Appointments app.
- Go to Services and click the service you want to edit.
- Click the General tab.
- Scroll down to the Meeting location card.
You'll see a dropdown labeled Meeting location with all the location options inside. Hover over the ? icon to see a quick tip about how customers will join or attend this service.
πΊοΈ Step 2 β Choose Your Location Type
Here's a simple map of the options:
- π₯ Google Meet β unique video link per booking, auto-generated when a teammate's Google account is connected
- π₯ Zoom β unique video link per booking, auto-generated when a teammate's Zoom account is connected
- π₯ MS Teams β unique video link per booking, auto-generated when a teammate's Outlook account is connected
- βοΈ Phone call β you enter a phone number
- π In person β you enter your address; customers get a Google Maps link
- π At Location β same as In person; use when you travel to the customer's location
- π Custom β any text you want customers to see
- π« None β no location shown at all
Pick the one that matches how you actually run appointments. Don't worry β you can change it anytime.
π₯ Step 3 β Set Up Automatic Video Meetings
If you selected Google Meet, Zoom, or MS Teams, you can either:
- Connect the relevant account β get a fresh, unique meeting link for every single booking automatically
- Paste a manual meeting link β use the same link for every booking (useful if you don't want to connect an account)
Automatic links save the most time and are the recommended option.
Connect Your Account (One-Time Setup)
Connections are managed per teammate in the Team section, not in Settings.
- In the app menu, click Team.
- Click the teammate who will run the appointments (or your own profile).
- Open the General Settings tab.
- Find the integration card you need:
- Google integration β for Google Meet links and calendar sync
- Outlook integration β for MS Teams links and Outlook calendar sync
- Zoom integration β for Zoom links only
- Click Connect Google, Connect Outlook, or Connect Zoom.
- A modal pops up explaining that you must accept the calendar permission during the next step. Click Connect.
- You'll be redirected to Google/Microsoft/Zoom to sign in and approve access.
- Once approved, you're sent back to the app and see a Connected success message β
β οΈ Google and Outlook are exclusive per teammate. If you connect Google on a teammate's profile, then connect Outlook, the Google connection is removed. Zoom can stay connected alongside either one.
π‘ Which account should I connect? The teammate who is actually assigned to the booking will be the "organizer" and their connected account will generate the link. If no teammate is assigned, the admin's account is used.
Pick the Location on Your Service
Once connected:
- Go back to your service's Meeting location dropdown.
- Select Google Meet, Zoom, or MS Teams.
- You should see a green "connected" message confirming that an automatic link will be generated.
The manual link field is hidden automatically because the app will create the link for you.
Paste a Manual Link Instead
If you don't want to connect an account, the dropdown will show the link field. Paste a static meeting link there:
- Google Meet β paste a Google Meet URL
- Zoom β paste a Zoom meeting URL
- MS Teams β paste a Teams meeting URL
This same link will be shared with every customer who books this service.
βοΈ Step 4 β Set Up Phone, In-Person, or Custom Locations
If you chose a non-video option, the process is even simpler.
Phone call
Enter the phone number customers should use. The number is shared in the booking confirmation email and calendar invite.
In person
- Select In person.
- Start typing your address in the field.
- Choose your address from the autocomplete suggestions.
Customers see the address in their confirmation email as a clickable Google Maps link, so they can get directions with one tap.
At Location
- Select At Location.
- Enter your address the same way.
Meeting happening at a certain location. The address field works the same way as In person.
π‘ Need the customer's address? The location dropdown doesn't ask customers for their address automatically. Add a custom question in the Customize Questions card if you need it. See the service setup guide for details.
Custom
Select Custom and type anything you want: "Room 302, Second Floor" or "Join via our waiting room at https://...". This text appears exactly as you wrote it in the confirmation email.
π« Step 5 β Add a QR Code Ticket (In Person / At Location Only)
If you're running in-person appointments, you can include a scannable QR code ticket in the confirmation email.
- Make sure In person or At Location is selected.
- Check Send Ticket QR Code.
The QR code appears in the customer's confirmation email wherever you've placed the [Ticket QR Code] block in your email template. The default templates already include it, but if you've customized emails, check out the Email Notifications setup guide.
πΎ Step 6 β Save Your Service
- Scroll to the top of the service editor.
- Click Save.
- Make sure your service status is Active so customers can start booking.
Your meeting location is now live and applies to every new booking for this service.
π What Happens After Setup
Once everything is configured, here's how the magic works:
Automatic video links
- A unique meeting link is created for each booking.
- For free bookings, the link is created instantly when the customer books.
- For paid bookings, the link is created after the customer completes payment.
- For services that need your approval, the link is created when you approve the booking.
- The customer receives the link in their confirmation email and calendar invite.
Phone, in-person, at-location, and custom
- Whatever you entered is sent to the customer exactly as-is in their confirmation email and add-to-calendar invite.
- Addresses become clickable Google Maps links.
Reschedules and cancellations
- Reschedule: the same video link stays valid β just the time changes.
- Cancel: the video link is revoked and the calendar event is removed.
Where to find the link
- Merchant: open Bookings, click the booking, and look for the location row β video links are clickable.
- Customer: confirmation email + calendar invite, and the appointment location is also shown in the booking widget before they confirm.
β οΈ Good to Know
- Connect first, then select the location. If you pick Google Meet but the teammate's Google account isn't connected, you'll see a red "not connected" message. Connect the account, or paste a manual link instead.
- Google and Outlook can't share a teammate. Choose one per teammate (Google for Meet, or Outlook for MS Teams). Zoom is independent.
- Disconnecting an account won't break old bookings. Existing booking links keep working. Only new bookings stop getting automatic links.
- Switching to None? Clear the address or link field too, so leftover text doesn't accidentally appear in future emails.
- Confirmation emails show the location by default. The default templates include
[Booking Location Block]. If you've heavily customized your email templates, make sure you haven't removed it.
π Final Result
Your meeting location setup is complete! Here's what you now have:
- β A location type chosen for this service that matches how you run appointments
- β Connected video accounts for automatic Google Meet, Zoom, or MS Teams links (or a manual fallback link)
- β Phone, address, or custom instructions shared with customers automatically
- β QR code tickets for in-person or at-location appointments (if enabled)
- β Automatic link management on reschedule and cancel
